Epic Downtime for Daylight Savings

Epic will have a 2-hour downtime for the switch from Daylight Savings Time to Eastern Standard Time on Sunday, November 6, 2022 from 1 a.m. Daylight Savings Time to 2 a.m. Eastern Standard Time. 

The system is in a "Read Only" state which allows full access to retrieve information including census, results and medication records, but does not allow updates or changes. Information in Epic is up-to-date when the downtime begins. However no new information will appear until the downtime is completed. 

PRIOR TO DOWNTIME (BEFORE 1:00 AM DST)

  • Begin documenting a shift assessment for each patient
  • All electronic documentation must be completed for each patient
  • All given meds must be documented in real time

DURING DOWNTIME (1:00 AM DST to 2:00 AM EST)

  • Document on appropriately labeled downtime forms
  • Document the correct time and either DST prior to time change or EST after the time change

 AFTER DOWNTIME (2:00 AM EST)

  • Back enter all documentation into Epic (*for Doc Flow, use INSERT COLUMN button)
  • Due to the one-hour overlap on the time change, all DST times may be entered as the exact time with a comment of DST. After the time change, when 0200 becomes 0100 EST, enter time PLUS 1 minute. You cannot enter a duplicate time value. Refer to the table below on how to document the appropriate, non-duplicate time.
  • Total all I&O manually and enter the amount during the overlap timeframe. (0100 DST through 0159 EST=2 hours worth of I&O)
  • Remember to indicate DST or EST in the comment field!!!

ADMIT/TRANSFER/DISCHARGE

  • Patients admitted during the downtime may not display in your census.
  • For pending &/or final transfer and discharge, call the Admitting office.
  • Maintain a Patient Log of all Admit, Transfers and Discharges. Document date, time, medical record number, billing number and patient room number.

ORDERS

  • Use the appropriate labeled downtime forms for STAT orders. Hold all other routine orders until after downtime.
  • Scan medication orders to Pharmacy.
